Workflow administration screens

Reference of the Workflow screens an administrator uses, in the order of the Administration and Management menus. Each entry states who sees the screen; the journeys explain how to use them. Screens shared with reviewers (Human Review, the review dossier, Awaiting requester correction, Processes) are described in the user manual's Workflow screens chapter. On 2026-10-22 every section of this page had its field details checked against the Workflow interface source (f88c5c1) and, for publication, versions, resend and permissions, the Workflow service source (6703373); none of it was walked in a signed-in session.

Content statusNot observed. Field details checked against the Workflow interface source (f88c5c1) and the Workflow service source (6703373) on 2026-10-22; not observed.

The editor fills the whole window. Toolbar, left to right: ← Back, the workflow name, the … · v… badge (Draft, Published or Published · unpublished changes, and the version number), Version history, Editing mode (Guided / Canvas), messages, Undo / Redo, Save Draft, Publish.

  • Nodes palette (Canvas) or Steps list (Guided) — the phases; see Design and publish a workflow.
  • Canvas controls: Zoom in, Zoom out, Fit to screen, Reset view.
  • Phase Configuration panel — Description and the phase's settings, or Config (JSON) for phases without a form. Drag to resize widens it.
  • Version history — every published version with Inspect and Restore.

The badge keeps the status the service last reported. Saving a draft of a published workflow leaves it published: the live version keeps running until you publish again, and while the draft differs from the live version the badge reads Published · unpublished changes. Publishing clears it.

Canvas

ElementWhat it does
Nodes paletteOne entry per phase. Select an entry to add the phase, or drag it onto the canvas. Start is disabled while the flow already has one.
Pre-configured groupBelow the phases, when the preset catalog loads: connector presets with a preset badge. Adding one opens its parameters form first; see the VIES preset.
Phase tileShows the phase's description and its type in capitals, with a preset badge for a phase made from a preset. Select it to open Phase Configuration; its × (Delete phase) removes it with its connections.
OutputsDrag from an output at the bottom of a tile to another tile to connect them. Phases with several outputs label them: True / False (Conditional), OK / NOK (Signature validation), Success / Not found / Error (REST integration), Normal / Alternative (Classification). A link drawn before this version on the Alternative output of Extraction or Manual Review keeps its dot, with the badge Alternative not routed.
Zoom pillZoom out (−), the zoom level, Zoom in (+), Fit to screen, Reset view (back to 100%)

A connection is refused silently when it links a phase to itself, repeats an existing one, or adds a second input to a phase that takes one input only (Classification, Extraction, Manual Review, AI Executor, Send Message, Conditional, Facematch, Signature validation). Start has no input.

Keyboard: Delete or Backspace removes the selected phase or connection (not while typing in a field); Ctrl/Cmd+Z undoes; Ctrl/Cmd+Shift+Z or Ctrl+Y redoes. The Start phase cannot be deleted: its tile has no × and Delete / Backspace leave it in place.

Guided

Title Steps: Build the flow as an ordered list of steps and publish it without opening the canvas. Each step shows its number, icon and description; selecting it opens Phase Configuration beside the list.

ButtonWhat happens
↑ (Move … earlier), ↓ (Move … later)Moves the step. Start stays first and cannot move.
✕ (Remove …)Removes the step and reconnects the line. Not offered for Start.
Add stepAppends the Step type at the end

Guided mode only shows a flow that is a single line from Start. A branch, a merge, a loop or a phase left unconnected shows This flow branches, so it cannot be shown as a list. Open the canvas to keep editing it. with Open the canvas. In a line, a Signature validation continues on OK and a REST integration on Success; their other outputs have to be connected on the canvas. Guided edits reorganize the canvas layout as a line.

Phase Configuration

The panel header shows the phase's icon, Phase Configuration, the phase type as stored (for example REST_CALL) and × to close. The left edge (Drag to resize) widens the panel by dragging, or with the left and right arrow keys. A legacy KYB phase shows the conversion banner described in KYB; a Send phase offers a test address and its inspector, described in Send.

PublishRuns the editor's checks, then asks Publish workflow — Confirm publish of version …? (the next version number) — with Cancel and Publish. Confirming saves the draft, then publishes it; the badge turns Published with the new number and the toolbar shows Published.Administrator, technical (checked by the service)No — but an earlier version can be restored and published again

What a publish does, from the service: it refuses the flow if any check below fails, without touching the live version; otherwise it rewrites the live phases, raises the version number by one — even when nothing changed — and stores an unchangeable copy of that version. A Send phase with an endpoint and no signing secret gets one at that moment. Processes already running keep the version they started on.

Content statusNot observed. Field details checked against the Workflow interface source (f88c5c1) on 2026-10-22; not observed.

Title Review queues: Pick a queue and choose who reviews it. A reviewer with no queue keeps seeing everything; once you assign someone, they see only their queues. One chip per queue with the number of documents waiting; the selected queue lists the company's members to tick, with Find a person, Save, Cancel and Refresh. See Organize human review.

The chips are the queues the service reports plus one per document type of the company's templates, even with nothing waiting; the special queues — such as Unidentified and Fraud review — come last. The first chip is selected when the screen opens. Under the selected queue's name, the members of the company are listed by e-mail, each with name and e-mail and a box ticked when the person is assigned. • No screen of this chapter has been walked in a signed-in session; captures are pending. Every section is documented from the Workflow interface source (f88c5c1) and, where stated, the Workflow service source (6703373).
  • Behaviour decided only by the service and not visible in either source — for example the page size of Webhook Deliveries and the exact limits of a Build AI session — is not documented.
  • Whether the environment you use runs the release of the Workflow service that stores signer profiles and runs the Signature validation phase has not been checked.
