Document Center administration screens

Detailed reference for the Document Center screens managed by company administrator and technical profiles. Labels are quoted as they appear in the English interface. Content was read from the source of the build serving DEV on 2026-10-09 (Document Center interface f3b92b7, service bb1cb28); on 2026-10-17 the Inbox, the Link to a process dialog, the Explorer and Document details were observed in DEV with a synthetic company administrator (Document Center interface 7c2a77e, service cfb72ae), and on 2026-10-18 My Drive, the process type page, Processes, Process details, Search documents and the Share button (Document Center interface 44d2f38, service 6fd4193). Every screen below says Observed. On 2026-10-22 the fields, actions and messages of every screen below were checked against the Document Center interface source (a8e9f24) and service source (d3ab083); those details are marked as not observed in each screen's Content status. On 2026-10-23 the Processes, Process details (Versions), Inbox, Link to a process, Explorer, Document details and Search documents screens were updated to the behaviour of Document Center interface pull request #143 and service pull request #171 (WOR-168); not observed.

Screenshots are not included in this edition. The Dashboard and the Upload document dialog are described in the user manual's Document Center screens.

Who can use these screens. The service answers the screens below only for a company administrator or technical profile (and the Cogneris administrator and technical operators). Another profile that opens them by address gets empty or error states, whatever the side menu shows. There is no separate audit screen and no "shared with me" screen: the audit record lives in the Audit and Timeline views of Process details and in the Timeline of Document details.

The top bar. Every screen below has a search box, Search processes and documents. Pressing Enter opens Search documents and runs the search; an empty box opens the page without searching. The breadcrumb starts at ECM, which opens the Dashboard.

TimelineDocument events with their count, for example Document created, Version uploaded, Viewed, Downloaded, Moved, Shared, Status changed, Signed, Archived

Details, from the source.

  • Status and confidentiality show in the interface language (in English: Draft, In review, Published, Archived, Purged; Public, Internal, Confidential, Highly confidential). Nothing on the screen changes them.
  • The AI panel shows only when the document carries at least one of its values. Document type is the type the workflow recorded. Confidence is rounded to a whole percent: green from 80 %, amber from 50 %, red below. Fraud reflects only whether the tenant's fraud policy blocked the document (the ai:fraudBlocked tag): Possible fraud when it did, No fraud detected otherwise — including when no fraud check ran, so it is not the check's result. The graded result (Trusted, Review recommended, Suspicious) and its signals are in the workflow Fraud review queue and in Vision; see Fraud Detection.
  • Versions lists every version with its size in KB. Downloading a version is possible only from the Versions view of Process details.
  • Tags shows each tag as key: value, with × to remove it; the AI and system tags and the document type are left out. — when there is none. Under the tags, Key and Value (optional) with Add tag add a text tag; adding a key that already exists replaces its value. Keys starting with ai: or sys:, and document_type, belong to the automation and cannot be added here.
  • The Timeline lists up to the 50 most recent events, each with its name, date and time and the user's identifier. Other events it can show: Renamed, Tag added, Tag removed, Permissions changed, Share link revoked, Checked out, Checked in, Purged, and the review events of a process (Documents refused, Returned to requester, Notification attempt, Requester resent documents, Reprocessing started, Requester reminded, Correction escalated, Correction link expired, Document decided, Review closed).
